Power Automate vs Power Apps: which one do you actually need?
Both are included in Microsoft 365. Both sound similar. But Power Automate and Power Apps solve fundamentally different problems — and choosing the wrong one costs time and money. This guide explains the difference and how to decide.
The one-sentence difference
Power Automate moves work between systems automatically. Power Apps gives people a screen to interact with a business process. Most real solutions use both — an app to collect or display information, and a flow to move or act on it.

When you only need Power Automate
Build a flow (not an app) when…
- The trigger is automatic — a date passing, a form submitted, a file arriving
- No person needs to interact with the data in a structured way
- The work involves moving, copying or notifying — not displaying
- The data already lives somewhere structured (SharePoint, Outlook, Excel)
Example: automatically emailing overdue invoice reminders every morning. The flow reads SharePoint, checks dates and sends emails. Nobody needs to open anything — it just runs.
When you only need Power Apps
Build an app (not a flow) when…
- A person needs to enter, view or update structured records regularly
- You want to replace a shared spreadsheet or a form-by-email process
- You need different views for different roles (read-only for some, full edit for others)
- The work requires search, filter or browse across records
Example: a simple internal request desk where staff submit requests and a manager reviews them. The app is the screen; the SharePoint list is the database.
When you need both
The most common and most powerful combination: an app to collect structured intake from people, and a flow to act on that intake automatically.

What about licensing?
Both are included in Microsoft 365 Business Standard and Premium at the standard tier: flows using standard connectors, and apps reading from SharePoint or Excel. You only pay extra when you use premium connectors (to external systems like Salesforce or Dynamics) or Dataverse as a data store. A well-scoped build stays within what you already pay for.
